Workflows that use Schools
Send the proprietor the daily close every morning
Every morning, close yesterday's books for the school and send the proprietor the close: money in on students, what matched by itself and what a person matched, what waits for a second person, what families say they paid, and anything that does not reconcile, each with where to fix it.
Remind families of school fees every week
On two chosen days each week, remind the families of students whose fees are past due, gently at first and more firmly as the weeks pass, skipping families who promised to pay or keep to a payment plan, and tell the bursar what went out.
Send the clearance lists the day before resumption
The day before the date you set, send the head teacher or exam officer each class's clearance list: who is cleared and who should see the bursar, with no figures, one message per class; then tell the bursar.
Bill the term's fees when the term starts
On the day you set (the start of term), invoice every enrolled student their term's fees exactly once and send each family its invoice with a link to its fees page, then tell the bursar what went out and who was left out.
Give each new student their own account number
Every 15 minutes, find the students who have no account number yet, issue each one their own number on the school's issuing connection, and send the family the number, the bank and a link to their fees page. Run it by hand for everyone when you first turn it on.
Tell families when their payment plan is decided
Every 15 minutes, find payment plan requests the school decided but the family was not told of, send each family the decision with the instalments and a fresh link to its fees page, once, and tell the bursar about any family that could not be reached.
Send the family a receipt for every school fees payment
The moment a payment is counted towards a student's school fees, however it came, send the family the receipt's number, the amount and the link that proves it, with a link to their fees page.
Record the school's daily takings in the books
Every evening, record the day's fees received, into account numbers and at the desk, as one sale in your books (QuickBooks or Zoho Books).
Post the school's daily close in Slack
Every evening, post the day's fees collected, what is unmatched and whether the day reconciles in a Slack channel.
